What owners, managers and staff can do

Updated 20 October 2026 · Everyone

Everyone who works in your store has a role. The role decides what they see in the menu and what they can change. Suppliers are different: they belong to their own company and only ever see their own products and orders.

The three roles for your own team

  • Owner: everything, including Settings and Billing. A store can have more than one owner. Owners must use two-step sign-in.
  • Manager: everything except Settings and Billing. Managers run orders, products, offers and reports day to day, and can see the storefront but not change it.
  • Staff: orders and customers. Staff can look at products, collections, offers and abandoned carts but not change them, and they don’t see money on Home or open Reports.

When you invite someone, the role list describes each one in a line: Owner — Everything, including Billing, Manager — Everything except Settings and Billing and Staff — Orders, customers, view products.

What each role sees in the menu

  • Owner: Home, Orders, Customers, Offers, Abandoned carts, Reports, Products, Collections, Storefront, Settings and Billing.
  • Manager: the same without Settings and Billing. Managers also get Store activity in the menu under their name.
  • Staff: Home, Orders, Customers, Offers, Abandoned carts, Products and Collections. No Reports, Storefront, Settings or Billing.

Screens a role can’t use are left out of the menu, not greyed out. If someone opens a page they can’t use, they see a short note telling them to ask the store owner.

Suppliers: four access levels

A supplier is another company whose products you sell under your store’s name. You choose one access level for the whole company, and everyone from that company can do the same things. Suppliers only ever work on their own products and their own lines in orders.

Inside a supplier’s company there are two roles: a Supplier admin, who can invite and remove colleagues, and a Supplier member. See Invite a supplier and For suppliers: working in a store’s portal.

What suppliers never see

  • Your other products, your own stock and other suppliers.
  • Order totals, your offers, your customers list, your reports and your billing.
  • Your customers’ emails and phone numbers. If their items go Straight to the shopper, they see the shopper’s name and delivery address so they can post the parcel, and nothing more.

How many people you can add

Each plan includes a number of staff accounts: 2 on Growth, 5 on Growth Pro and 15 on Business. Starter (Free) is owner only. Managers and staff count towards the number, including people who have been invited but haven’t joined yet. Owners never count, and nor do your suppliers’ people. Suppliers are on the Business plan. See Pricing for every plan.

When you reach the limit, inviting someone else shows a message such as Your plan includes 2 — see plans for more. Removing someone, or cancelling an invitation nobody has accepted, frees a place.

Questions

Can a store have more than one owner?

Yes. You can invite someone as an owner, or change a manager or staff member to owner. The last owner can’t be removed or changed to another role, so there is always at least one.

Can a manager change payments or billing?

No. Settings and Billing are for owners only. A manager who opens Settings sees “Settings are the store owner’s”.

Can staff refund an order?

No. Refunds, returns and marking an order paid are for owners and managers. Staff can still cancel an order that hasn’t shipped, and if it was paid, the shopper gets their money back, so give that job only to people you trust with it.

Can one person be on my team and also work for a supplier?

Not in the same store. If the email already belongs to someone on your team, inviting it as a supplier is refused with “They’re already in this store.”
